Payments are processed via secure third-party providers including:
- Stripe - payments technology company
- PayPal - online payments company
- Flatpay - instore payment company

No full card numbers are stored.
2.3 Technical & Scheduling Data

- Appointment scheduling and booking data via third-party platforms including Acuity and Calendly (+ Others)
Website operations are hosted via Shopify (ecommerce platform / booking appointments).
3. Special Category Data – Dental Impressions
To manufacture custom dental jewellery, we collect:
- Physical dental impressions
- Digital scans or moulds
- Tooth alignment and bite measurements
Purpose: solely for jewellery design, adjustments, remakes, and servicing.
Note: we do not provide dental treatment.
Because dental impressions are biometric/health-related, they are Special Category Data under UK GDPR. Processing requires explicit consent.
4. Lawful Bases for Processing
We process data under:
- Contractual necessity - to manufacture and deliver products
- Legal obligation - tax, accounting, and compliance
- Legitimate interests - business management, fraud prevention, record keeping, marketing
- Explicit consent - for processing dental impressions and marketing (social media/website use)
5. Data Retention & Lifetime Servicing
5.1 Standard Retention
Client data and dental impressions are retained for up to 5 years from the date of the most recent completed order. Retention covers servicing, remakes, adjustments, and record-keeping during this period.
5.2 Extended / Lifetime Retention
Clients who opt into Lifetime Servicing may have their data retained beyond 5 years, potentially indefinitely. Extended retention is used solely for:
- Servicing, resizing, or remakes
- Record-keeping
- Marketing purposes (social media, portfolio, website)
5.3 Marketing Use
Data and images may be used as marketing material unless the client opts out. Social media posts may include:
- Client names in captions (if consented)
- Tags linking to client social media profiles
- Images of dental impressions (with consent)
Consent for marketing is separate from consent for product creation. Clients may withdraw consent at any time.
5.4 Data Refresh Policy
If a client places a new order after the 5-year period:
- A new dental impression may be required
- Client details may be updated
- Previous data may be securely replaced where appropriate
5.5 Deletion Upon Request
Clients may request deletion of their personal data and dental impressions at any time.
- Physical impressions will be permanently destroyed; digital files securely erased
- Deletion may limit our ability to provide future servicing without a new impression
6. Data Storage & Security
We store data using:
- Secure digital systems: Notion, Excel
- Shopify website and order systems
- Appointment booking systems: Acuity, Calendly
- Payment processors: Stripe, PayPal
Access is limited to authorised personnel only. Paper records are securely transferred into digital logs and destroyed afterward.
7. International Sales & Transfers
We market and sell internationally.
Transfers outside the UK follow appropriate safeguards under UK GDPR, including contractual clauses with service providers.
8. Insurance
- Plygrnd Ltd does not provide jewellery insurance.
- Clients may independently insure products through third-party providers.
- We do not partner with or recommend specific insurers.
9. Your Rights
Clients have the right to:
- Access personal data
- Correct inaccuracies
- Request deletion
- Restrict processing
- Object to processing
- Withdraw consent
